Square for music stores

Square Handles Payments. Music Shop Suite Handles Your Shop.

Square is one of the best payment processors for small businesses. It is fast, reliable, and easy to set up. But music stores need more than checkout: they need to track serialized instruments, manage rentals, run repair tickets, schedule lessons, and produce accounting reports that reflect all of it. That is what Music Shop Suite does — and it works alongside Square.

  • Track every instrument by serial, condition, cost, and history
  • Manage rentals, loans, and school programs with due-date tracking
  • Run repair tickets with intake forms, status flows, and cost tracking
  • Schedule lessons with student and teacher views
  • Export P&L, inventory value, and turnover reports
  • Free during beta. Keep your Square terminal.

What Square does not track

Square tracks SKUs and sales. It does not track the 1962 Strat with serial L12345 that came in for a refret, went out on a school rental, and came back with a cracked neck. We do.

  • Per-unit serial, condition, and photo history
  • Loan and rental status on each instrument
  • Repair tickets tied to the actual unit

Rentals are not sales

Square records a rental as a transaction. We record it as a loan with a due date, a deposit, a student, a school, and a history. When the instrument comes back, the record is updated — not closed.

Repairs need their own system

A repair in Square might be a line item on a receipt. In Music Shop Suite, it is a ticket with an intake form, parts, labor, status updates, and customer communication. Your luthier knows what to do. Your customer knows when it is ready.

Accounting that sees the whole shop

Sales, rentals, repairs, and lessons all flow into one ledger. Your P&L is not just what rang through the terminal — it is every revenue stream, and your inventory value is current, not a year-end guess.

Honest note

Honest note: we do not process payments.

Square is a payment terminal and processor. Music Shop Suite is not. We do not replace Square and we do not compete with it. We are the back-office system that sits behind it — the place where your instruments, clients, loans, repairs, lessons, and accounting live. If you love Square for checkout but need a system that understands a music shop, that is the gap we fill.

Frequently asked

Can I really keep my Square terminal?
Absolutely. Ring up sales in Square. Track everything else in Music Shop Suite. They work together — Square for payments, us for the back office.
Does this sync with Square?
Not directly. Most shops enter sales from Square into Music Shop Suite at the end of the day, or import a CSV. Full integration is on the roadmap.
Is this better than Square for inventory?
It is different. Square inventory is SKU-based retail. Music Shop Suite is unit-based, built for one-of-a-kind instruments. If you sell the same cable in bulk, Square is better. If you sell vintage guitars, we are.
