Stocktake & audits
Music Store Stocktake Software That Counts Units, Not Guesses
A stocktake is only useful if it tells you what each unit is and where it is. Music Shop Suite counts by serial, reconciles instruments out on loan or on the bench, and gives you a stock valuation you can hand to an accountant without apology.
- Count by serial number so two identical models never merge
- Section-by-section counting — no need to shut the shop
- Loans, rentals, and bench jobs reconciled, not recounted
- Discrepancy list with reasons, dates, and who resolved it
- Stock valuation by category, condition, and age
Why model-level counts always disagree
Three Telecasters on the wall proves nothing if one is consigned, one is on layaway, and one came back from a rental damaged. Counting the serial answers a yes-or-no question per unit and makes the result defensible.
- One line per physical unit, matched by serial
- Consignment, layaway, and rental status visible during the count
- Scan-to-count where you have barcodes on the units
Reconcile what is not in the building
Instruments on loan, on rental, or on the bench are still your stock. They are reconciled against their agreements and work orders, so they never show up as shrinkage.
A discrepancy report that ends the argument
Present but unrecorded, recorded but missing, and present with the wrong status are three different problems with three different fixes. Each gets its own list, resolution note, and timestamp.
Valuation your accountant will accept
Once the count is closed, stock value by category and condition exports straight to CSV alongside aging, so year-end takes an hour instead of a weekend.

Inventory, pricing, lesson bookings, and instrument lending all live in the same back-office dashboard — no separate apps, no re-keying between them.

Frequently asked
- Do I have to close the shop to run a stocktake?
- No. Count in sections across a week — wall, back room, bench, and units out on loan — and reconcile as you go. Anything on loan or in repair is reconciled against its record rather than physically counted.
- How are discrepancies handled?
- Every counted unit is matched to its record. Missing, unexpected, and wrong-status units are listed separately so you can resolve each with a reason and a date.
- Can I export the stock valuation afterwards?
- Yes. Export stock value by category, condition, and age to CSV for your accountant or insurer.
