Used & consignment tracking
Used Instrument & Consignment Software for Music Shops
Independent music shops live and die by the used-and-consigned wall. Music Shop Suite gives you a clean way to track every used instrument by serial number, who it came from, what condition it's in, and — when it sells — exactly what the consignor is owed.
- Track used instruments by serial, year, finish, and condition
- Store seller and consignor history with contact details
- Mark instruments as shop-owned or consigned (clear separation)
- Record commission splits, sale price, and payouts
- Attach intake photos, condition notes, and the agreement PDF
Shop-owned vs customer-owned, never confused
Every instrument is tagged at intake as either bought outright or consigned. Your inventory value, your sell-through reports, and your payout queue all respect that line — so you never accidentally treat a consignor's instrument as your own.
- Ownership flag on every unit
- Inventory value reports exclude consignments
- Filter the floor by 'shop-owned only' or 'on consignment'
Commission, split, and payout in one record
When you take an instrument on consignment, record the agreed terms once: split percentage, minimum acceptable price, and any fees. When it sells, the system shows you the consignor's share automatically — no spreadsheet math.
- Commission percentage and minimum price per agreement
- Sale price logged against the original consignment record
- Payout amount calculated and queued for settlement
Seller history and customer record
Each consignor and each used-instrument seller gets a customer card. See everything they've ever brought in, what sold, what's still on the floor, and what they're owed.
Paperwork that doesn't get lost
Intake photos, condition reports, signed consignment agreements, original receipts — all attached to the instrument record. Export anytime to PDF or CSV for your accountant or the consignor.
Honest note
Not a public marketplace
Music Shop Suite is a back-office system for your shop. It tracks used and consigned inventory, sellers, condition, and payouts — it does not host a public buy/sell marketplace, process buyer payments, or handle shipping. Use your existing POS for the sale; use this for everything that comes before and after.
Frequently asked
- What's the difference between shop-owned and consigned stock?
- Shop-owned instruments are bought outright and sit on your balance sheet. Consigned instruments belong to a customer until sold — you track them, list them, and split the proceeds based on your agreement.
- Can I record the commission split and payout?
- Yes. Each consignment record stores the agreed split, sale price, your commission, and what the consignor is owed. When the instrument sells, the payout is queued and logged.
- Does each used instrument have its own history?
- Yes. Every used or consigned instrument is a unique card with its own serial, condition notes, photos, intake date, and the seller's contact details.
- Can I print or export a consignment agreement?
- You can export the consignment record (terms, commission, instrument details, signatures) to PDF or CSV for your files and the consignor.
